The City of West Palm Beach is preparing to organize the Special Events Calendar for 2007. The Special Event Handbook includes the application and important updates for events in 2006 and 2007. Please review the handbook before filling out the application, as some things have changed. If you have any questions feel free to call us at (561)822-1515 and we will be happy to assist you.
When filling out the application it is especially important that you fill out the application completely, and please don’t forget to include a site map and the $50.00 application fee, otherwise your application will not be reviewed.
Please be sure to read the Important Updates for Events in 2006 and 2007.
THE DEADLINE FOR COMPLETED APPLICATIONS IS FRIDAY, MARCH 31, 2006. NO EXCEPTIONS! Any applications received after this deadline will be taken on a first come first serve basis.
THE SELECTION PROCESS
City of West Palm Beach Community Events staff will review the received applications and develop the 2007 events calendar. All organizers will be notified via mail by April of event status and dates. Some events will be required to have Commission, Fire, Police, Public Utilities and Grounds approval. The City will not be responsible for any event-related materials or advertising if created or released before final approval for the event is given.
All applications received by March 31, 2006 will be given equal consideration for dates requested. Any applications received after this date will be reviewed on a first come first serve basis. Please complete the application in the back of the handbook and detach the pages from the handbook, and return to: City of West Palm Beach Mayor’s Office, Attn: Community Events Specialist, P.O. Box 3366, West Palm Beach, FL 33402. Include a check for $50.00 made payable to The City of West Palm Beach and at minimum a rough draft site map.
Important updates for events in 2006 and 2007:
- Effective January 1, 2006, the new contractual rate provided by the City of West Palm Beach Police Department for officers at events will be $35/hr and up (per officer – 3 hr min.)
- General Liability Insurance is a requirement for all events with risk on City property. In order for all events to comply with this policy we have established a new program for small events such as Neighborhood Association block parties. The program is called Tenant User Liability Insurance Program (TULIP). TULIP can provide general liability insurance to event promoters when utilizing City property. This allows small events the option to purchase their policy through the City of West Palm Beach.
- Event promoters hosting events at the Meyer Amphitheatre will be required to have bathroom attendants for the outside men’s and women’s restroom during the duration of the event. The rate for two attendants in $30/hour, with a four-hour minimum.
In regard to the Waterfront Project along Flagler Drive, please note the following updates:
- Any downtown waterfront construction through December 2006 will not impede the use of the roadway on Flagler Drive for walks, runs, etc. However, there may be a need to alter the start and finish location on Flagler Drive for the walks and races. Every effort will be made to provide at least two months notice of the altered route.
- Seawall construction will begin May 11, 2006, which may impede the use of the sidewalks for walks, runs, etc. and grass areas from the curb on the east side of Flagler to the seawall.
- The Meyer Amphitheatre will also be available through December 2006. There is a slight chance that renovations could affect the use of Meyer Amphitheatre after September 2006, but you would be notified 45 days in advance if your event would need to relocate to Centennial Square, Post Park or behind the library.
As our downtown continues to grow we must take into consideration the residents who live within the areas of your event.
Please keep the following in mind when organizing your event:
- Always attempt to keep the roads open and accessible.
- Do not stage equipment overnight that can be disrupting to residents (i.e. refrigerated trucks, generators, etc. on Narcissus or Datura).
- If you must place port-o-lets in front of businesses and condominiums, such as on the sidewalk of Narcissus b/w Datura and Evernia, you will be required to provide screening.
